Aug 15, 2025 | Catering, Event Center, Full Bar Service

Planning a catered event? No matter the occasion, be it a wedding, celebration of life, corporate function, birthday celebration, or a backyard BBQ, food consistently takes center stage. And when you’re working with a caterer, you probably have a lot of catering questions (and you’re not alone!).

To make your planning process smoother, we’ve rounded up 25 of the most common catering questions our clients ask. From menu customization to event-day logistics, we’re here to take the guesswork out of catering, so you can plan with confidence and enjoy every bite.

Menu and Dietary Options

1. What types of food can caterers provide?

Most caterers offer a wide range of options, from BBQ and comfort food to fine dining, international cuisines, and themed menus. At Randy Peters Catering, our menus include everything from quality beef and seafood to appetizers and specialty ethnic requests.

2. Can I customize my catering menu?

Absolutely. Many caterers, including us, work closely with clients to build custom menus that match your tastes, theme, and dietary needs.

3. Do caterers accommodate dietary restrictions like vegan, gluten-free, and dairy-free?

Yes! Reputable caterers will gladly accommodate dietary restrictions, including vegetarian, vegan, gluten-free, and dairy-free. Just be sure to communicate your needs early in the planning process.

4. Can I schedule a tasting before the event?

Most full-service caterers offer tastings, especially for weddings or large events. This allows you to sample menu options, make adjustments, and feel confident in your choices.

5. What types of menus are crowd-pleasers for large groups?

Buffet-style BBQ, build-your-own stations (like taco or pasta bars), and hearty comfort foods tend to be safe bets. Variety is key to keeping guests happy.

Booking and Planning

6. How far in advance should I book a caterer?

We recommend booking 6–12 months in advance for weddings and major events, and at least 4–8 weeks ahead for smaller gatherings, especially during peak seasons like around the winter holidays. At Randy Peters Catering, we aim to please so even if you have a last minute request we’ll do our best to accommodate where possible!

7. What information should I have ready before contacting a caterer?

You’ll want to know your event date, estimated guest count, venue location, budget range, and general idea of the food or vibe you’re going for.

8. How do I choose the right catering style (buffet, plated, stations)?

Think about your guest count, formality, space, and budget. Buffets are more casual and cost-effective, while plated meals offer a formal experience. Stations provide variety and movement.

9. Do caterers help with event planning or just food?

Some caterers (like us!) also help coordinate some rentalsbar service, staffing, and event timelines. Others may focus strictly on food. Be sure to ask what’s included.

10. Can I make changes to the menu after booking?

Most caterers allow reasonable menu adjustments up to a certain date before the event. Just be sure to communicate any requested adjustments as far in advance as possible!

Pricing and Budget

11. How much does catering usually cost per person?

Catering prices can range from $25–$250+ per person, depending on your menu, service style, and event complexity. BBQ or buffet menus tend to be more affordable than plated dinners.

12. What’s included in the price? Staff, rentals, setup?

Every caterer structures pricing differently. Some include staff, tableware, linens, and setup/cleanup. Others may charge separately. Ask your chosen caterer during the proposal and selection process for a full breakdown.

13. Are there extra fees for service, delivery, or cleanup?

Yes, there may be additional charges for delivery, gratuities, rentals, and cleanup. Always ask for an all-inclusive estimate so there are no surprises. This will also help you avoid overtipping, or unintentionally tipping twice!

14. Do I need to pay a deposit to book catering?

Yes, most caterers require a deposit (often 25–50%) to secure your date. The remaining balance is usually due shortly before the event.

15. How can I reduce catering costs without sacrificing quality?

Choose seasonal ingredients, simplify your menu, and consider buffet service. Hosting your event at the caterer’s venue can also help lower costs as delivery fees typically won’t apply.

Service and Staff

16. What’s the difference between full-service catering and drop-off?

Drop-off catering includes food delivery only and tends to be more cost effective. Full-service catering includes setup, staff, serving, and cleanup. This is ideal for larger or formal events and adds an extra special touch to your event.

17. Will servers and bartenders be provided?

For full-service events, yes. Be sure to confirm how many staff members will be present and what roles they’ll fill (waitstaff, bartenders, chefs, etc.). The staffing will depend on what services you have contracted with the company.

18. How early will staff arrive to set up?

Staff typically arrive 1–3 hours before your event, depending on the size and complexity of the setup.

19. Do caterers provide cleanup after the event?

Full-service catering includes cleanup of food and equipment. If you’re renting a venue, be sure to ask if the caterer handles venue-specific cleanup as well.

20. Can catering staff also help run the event timeline?

Many experienced caterers will help coordinate the food timeline (serving, toasts, etc.) and will work closely with your planner or DJ to keep things running smoothly.
